SDR account prioritization: a weekly operating method

A repeatable way to turn thousands of rows into the twenty accounts that deserve attention this week.

How do SDRs prioritize accounts?

Rank the territory once on fit, then re-sort the top of that ranking every week on recent dated triggers. Fit decides who is worth working at all; triggers decide who is worth working now.

Step 1 — tier the territory on fit

Score every account on the fit dimensions — industry, size and technology — and split into three tiers. Tier A is a clear match, Tier B is plausible but unproven, Tier C is out of profile. Tier C should be genuinely excluded, not "deprioritised", or it will creep back in when the month is slow.

Step 2 — re-sort weekly on triggers

Within Tier A, sort by trigger recency and urgency. A dated event from the last thirty days beats a stronger but older one. This is the list you actually work.

Step 3 — set capacity honestly

Decide how many accounts you can personalise for in a week, and cap the working set at that number. A list longer than capacity is not ambition; it guarantees generic outreach on most of it.

BucketCriteriaCadence
NowTier A + dated trigger in the last 30 daysResearched, personalised, multi-touch this week
SoonTier A, no recent triggerLighter cadence; monitor for events
WatchTier BMonthly re-score; promote on new evidence
ParkedTier C or explicit disqualifierOut of the working list, reason recorded

Step 4 — research only the "Now" bucket deeply

Deep research is expensive per account, so spend it where it converts. Everything else needs only enough evidence to keep or move its tier. An account brief that fits on one screen is the right unit.

Step 5 — record why, every time

When you park an account or override a score, write the reason. Over a quarter these notes are the only honest input you have for re-weighting the model, and they stop the same account being rediscovered and re-abandoned by the next rep.

Common mistakes

  • Working the list in upload order because the ranking lives somewhere inconvenient.
  • Personalising with a signal that is a year old.
  • Treating every account in Tier A as equally urgent.
  • Chasing engagement from people with no budget because they replied.

Frequently asked questions

How do SDRs prioritize accounts?

By ranking their territory on fit and readiness, then re-sorting the top of that list weekly on recent dated triggers, so outreach references something that actually happened.

How many accounts should an SDR work at once?

Fewer than most lists assume. Capacity is set by how many accounts a rep can research and personalise for each week, not by how many rows the CRM holds. Work in a tiered set and refill it as accounts resolve.

Should SDRs work high-fit accounts with no trigger?

Yes, but on a slower cadence. High fit with no trigger is a nurture motion; high fit with a dated trigger is this week's call.

What should an SDR do with a low-scoring account?

Park it with the reason recorded. Low scores caused by missing evidence should be revisited; low scores caused by clear disqualifiers should leave the working list.
